001 – Who we are

Transitional Housing

Transitional Housing provides furnished homes and practical guidance for people moving on from homelessness. Transitional Housing is the data controller for personal information sent through this website.

002 – What we collect

The information we ask for

Contact form and room match registration. Your name, email address, telephone number, the area and type of room you are looking for, and anything you write in your message.

Room applications. The details you enter on the application form on a room listing.

Referral form. Details of the person making the referral and of the applicant: name, date of birth, National Insurance number, contact details, benefits and income, household, address history, health needs, offending history and other risk information, next of kin, equality monitoring answers, and the identity and other documents uploaded with the form.

If you are referring someone else, please make sure they know about the referral and agree to it before you send their information.

What we do with it

  • To reply to your enquiry
  • To assess whether we can offer a home that is suitable and safe
  • To match applicants to available rooms and arrange assessment, viewing and move-in
  • To plan the coaching and guidance a resident wants
  • To keep residents, staff and neighbours safe
  • To meet our legal and regulatory duties

We use this information because it is needed to take steps towards a tenancy or licence agreement at the applicant’s request, because we have a legitimate interest in running a safe and well-managed housing service, and where the law requires us to.

Information about health, ethnicity and similar matters, and about criminal convictions, has extra protection in law. We use it only to assess suitability and risk, to plan coaching and guidance and to monitor fair access. The referral form asks for the applicant’s consent before it is sent.

004 – Who we share it with

Sharing

We share information only where it is needed to house the applicant and help them settle:

  • The housing provider that is the landlord of the home
  • The housing management team
  • The agency or council that made the referral
  • The council or the Department for Work and Pensions, for housing costs and benefit claims
  • Emergency services or safeguarding teams, if someone is at risk of harm

We do not sell personal information and we do not use it for marketing.

005 – Storage

Where it is kept and for how long

Forms on this website are processed by our website provider, WordPress.com (Automattic), and sent to our team by email. Automattic may process information outside the United Kingdom under safeguards recognised in UK data protection law. Once received, the information is held in our housing records.

We keep information only for as long as we need it. If a referral or application does not lead to a home with us, we delete it once it is no longer needed. If it does, it becomes part of the resident’s housing record and is kept in line with our retention schedule.

006 – Your rights

Your rights

You can ask us for a copy of your information, ask us to correct or delete it, ask us to limit how we use it, object to how we use it, and withdraw your consent at any time. To do any of these, call us or use the contact form.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
